Virtrio facilitates Virtual career fair for a global client

A global professional services organisation, wanted to host an exclusive women’s job fair as a Women’s Day special event for recruiting. The task was to attract the best female global talent for open positions in the organisation. Virtrio platform specialising in virtual event management, was chosen to design and execute the virtual job fair.

The Event

The recruitment event was exclusively hosted for women by women and started with a webinar interaction with their female leaders, followed by meetings with recruiters for open positions in the organisation.

Virtrio Tackles the Task

Virtrio managed the project design and process execution for the virtual job fair with our in-house  women powered team. The platform created a unique format and scheduled deliverables valued by the client. The entire 41-day process started with a kickoff call to gather requirements. Instead of offering a one-stop solution, Virtrio listened to their needs and designed the platform and event accordingly.

The requirements included:

1. Facilitating the registration process, sending registration acknowledgments, event updates, and reminders through emails.

2. Enabling attendees to upload resumes and choose their areas of focus for the job while registering for the event.

3. Providing the recruiting team with intelligent analytics to scrutinize the applicants.

4. Facilitating networking and two-way communication between candidates and recruiters and among candidates through groups.

To answer this ask, Virtrio designed a user friendly flexible and fully branded platform.

Virtrio deployed a seamless pre-registration and orientation process. As a pre-event orientation, one hour for three days was dedicated to training the client in handling queries and chat facility. A guide was shared with all the users through email and in the event for easy navigation and usage of features in the virtual arena. Helpdesk and chat support were enabled in all the rooms on the Live event day and the following event day. Virtrio supported the day of the event through live announcement messages.

The Result

There were 395 registered attendees, and 200 attended the live event day. For those who missed the event, the platform was open for 25 days  post the event to facilitate interaction. The attendees who missed the live day action could log in to the event, visit the auditorium, watch recorded sessions, send messages, post queries, and schedule meetings with HR. Attendees could also access job postings from the documents and weblinks from respective department booths. A message alert was posted in the lobby area with an email id to share their queries or CV.
